Instructors & permissions
Instructors and invites
Invite instructors, fill out their profiles, and review insights on availability, earnings and substitutions.
Instructors and invites
Open Instructors in the sidebar to manage your team. From here you invite new instructors, view profiles and insights, and grant scheduling permissions.
Inviting an instructor
Click Invite instructor. Enter their email address and ClassKeep will:
- If the email already has a ClassKeep account — add them directly to your studio with the instructor role
- Otherwise — send a sign-up invite. When they create an account with that same email, they're automatically added to your studio
You can revoke a pending invite at any time. Instructors do not see other instructors' details.
The instructor list
Each row shows:
- Name and avatar
- Employment status (active, archived)
- Number of upcoming sessions
- Compensation snapshot
- Quick links to their profile and earnings
Use the search bar and filters to find people fast.
The full profile
Click an instructor row to open the workspace, organised by tabs (?tab=...):
- Profile — public bio, photo, specialties, social links
- Availability — weekly availability and time-off entries (used to validate scheduling)
- Compensation — pay model (per session, per attendee, fixed) and historical earnings
- Notifications — opt-ins for booking, cancellation, sub requests
- History — every session they've taught, with attendance and ratings
Availability and conflicts
When you change an instructor's availability, ClassKeep checks every existing assigned session. If a session now falls outside their availability, you'll see a warning so you can find a substitute or move the class.
Substitutions
When an instructor cannot teach a session, you can mark it as needing a substitute. Eligible instructors are notified and can accept; the original instructor stays in the audit log so payouts and history reflect what actually happened.
Earnings rules
For sessions taught by a single instructor with no substitution, ClassKeep can auto-credit earnings according to that instructor's compensation model. Multi-instructor sessions are handled manually so you can split fairly.
