Clients
Maintain your client roster: invite, profile, credits, bookings, activity history and waivers.
Clients
Your Clients list is the source of truth for everyone who attends your studio. Find it in the sidebar at Clients. From here you can search, filter, invite new people and click into a profile to manage credits, bookings and history.
The list
The clients page shows every person who has either:
- Self-signed-up on your booking page
- Been added by a studio admin
- Been imported from a previous tool
Each row shows the client's name, email, status and a few summary metrics. Use the search bar (name, email, phone), the status chips (Active / Inactive / Invited) and pagination to find anyone fast.
Add a client
- Click Add client
- Enter their name and email
- Optionally add phone, birthday and notes
- Choose to invite them by email (so they can claim the account themselves) or skip the invite
- Save
If you invite, ClassKeep emails the client a sign-up link. Once they create a password, the contact-only profile is claimed and they become a real student account that can book classes.
Client detail
Click any row to open the client's profile. The detail view has tabs:
- Profile — name, contact info, status, waiver, internal notes
- Bookings — every past, current and future booking, with admin actions (cancel, mark no-show, refund credits)
- Credits — current balance, ledger of every credit added or used, and an admin Adjust credits action
- Activity — audit log of important events (invites sent, status changes, manual credit adjustments)
Manual credit adjustments
Use Adjust credits for goodwill credits, refunds or corrections. Each adjustment requires a reason and is recorded in the activity log.
Waiver
Many studios collect a signed waiver before clients can book. The Profile tab shows the waiver status; you can upload a signed PDF or mark it accepted manually.
Inviting and re-inviting
For contact-only clients (no account yet), the Invite action sends them a sign-up link. Resending an invite is safe — it does not duplicate the email.
Status
- Active — bookable, counted in active-client metrics
- Inactive — kept in the system for history but excluded from defaults
